  1. How We Plan Your Trip (Your Route, Your Way)
    Every itinerary is built from a blank page. We take the time to understand your preferred travel dates, the size of your group, the driving pace you are comfortable with, and the kind of stays you enjoy.
  • We shape the plan together through direct conversation over WhatsApp, phone calls, or email until the route feels right to you.
  • Because your journey is private, you can add scenic stopovers, skip places that don’t interest you, and explore at your own speed.
  • Once we mutually agree on the itinerary and details, we lock in your dedicated vehicle and accommodation preferences.
  1. Clear Pricing with Zero Hidden Surprises
    Nobody likes unexpected expenses on vacation. We provide straightforward, transparent trip estimates before you commit.
  • Your customized plan clearly spells out what is covered—such as your dedicated private vehicle, fuel, highway toll charges, state border taxes, parking fees, driver allowances, chosen stays, and planned meals.
  • Personal expenses, shopping, specialized adventure activities, camera permits, and monument tickets outside the plan remain yours to manage directly.
  • If you choose to add extra stops, upgrade a stay, or change routes during the trip, any difference in cost is discussed and agreed upon with you first.
  1. Traveler Details & Smooth Coordination
    Great trips rely on clear communication.
  • To help us arrange regional travel permits, inner-line passes (for mountain zones), and smooth hotel check-ins, we ask that you share accurate traveler names and valid government ID proofs when requested.
  • We cannot take responsibility for transit delays or permit rejections that result from incorrect or incomplete information shared with us.
  1. Staying Safe & Flexible on the Road
    Road journeys through India—across mountain passes, rural belts, and coastal stretches—can bring unexpected challenges like sudden weather shifts, road repair work, seasonal landslides, or local traffic detours.
  • Your comfort and safety will always be our primary concern. If ground conditions change, our drivers and route coordinators will discuss the situation with you immediately to find the safest, most scenic alternative path.
  • If uncontrollable natural events (force majeure) cause unplanned overnight stops or major route detours, any extra hotel rooms or personal meal costs are handled directly and fairly on the spot.
  1. Thoughtful Changes, Rescheduling & Cancellations
    We know life happens and dates sometimes need to move. Because our vehicles, experienced drivers, and boutique stays are blocked exclusively for your travel dates:
  • If you need to postpone or shift your dates, let us know as early as possible. We always prioritize adjusting your travel dates smoothly rather than slapping on rigid cancellation penalties.
  • If you need to cancel entirely, refunds are calculated fairly by returning whatever amount remains after adjusting for non-refundable payments already committed to local stays or ground operators.
  • Last-minute cancellations (within 48 to 72 hours of trip start) remain subject to actual ground partner policies.
  1. Health, Comfort & Peace of Mind
  • High-altitude drives and long highway hours can be tiring. Let us know about any health needs, motion sickness concerns, or dietary restrictions so we can build sensible rest stops into your driving days.
  • Please pack essential personal medicines and follow the local safety guidance offered by your driver and ground coordinators.
  • We strongly recommend carrying an active travel and medical insurance policy to protect your peace of mind against unexpected health situations, trip interruptions, or personal baggage loss.
  1. Our Commitment & Realistic Boundaries
  • Trek India Route acts as your personal itinerary designer, route guide, and travel coordinator. We work exclusively with trusted private drivers, well-maintained vehicles, and verified local homestays.
  • While we stay actively reachable throughout your trip to resolve hiccups swiftly, we cannot be held legally liable for accidental transit delays, vehicle breakdowns, personal illness, or external events outside our reasonable operational control.

    We care deeply about the landscapes, heritage towns, and mountain communities we travel through. We warmly ask our guests to:
  • Treat local hosts, drivers, and artisans with courtesy and mutual respect.
  • Keep India’s natural routes beautiful by avoiding open littering and minimizing single-use plastic waste along rivers, trails, and passes.
